Ready Console Terms of Service

Service Overview

Ready Console helps organizations organize operational compliance workflows, documents, deadlines, assignments, reminders, acknowledgements, and reporting. Ready Console does not provide legal, tax, insurance, HR, DOT, medical, safety, or regulatory advice.

These Terms of Service (“Terms”) govern access to and use of the Ready Console public website, software platform, application, and related services. By accessing or using Ready Console, you agree to these Terms. If you use Ready Console on behalf of a company, organization, or other legal entity, you represent that you have authority to bind that entity to these Terms.

If you or your organization enters into a separate subscription agreement, order form, services agreement, or other written agreement with Ready Console, that agreement will control if it conflicts with these Terms.

1. Services Covered

These Terms apply to:

  • the public website at www.readyconsole.com;
  • the authenticated application at app.readyconsole.com;
  • Ready Console software, dashboards, modules, reports, document workflows, reminders, notifications, and related services;
  • communications, support, onboarding, and account-related services provided by Ready Console.

Ready Console may provide different modules or features depending on the customer’s plan, configuration, onboarding package, enterprise agreement, or enabled settings.

2. Eligibility and Authority

You may use Ready Console only if you are legally permitted to do so.

If you use Ready Console for an organization, you represent that:

  • you are authorized to access Ready Console on behalf of that organization;
  • you are authorized to provide information to Ready Console;
  • you will use Ready Console only for lawful business purposes;
  • you will comply with these Terms and any applicable agreement.

Ready Console is intended for business use and is not directed to children.

3. Accounts and Access

Certain Ready Console services require an account.

You agree to provide accurate account information and keep it current.

You are responsible for:

  • maintaining the confidentiality of login credentials;
  • all activity under your account;
  • ensuring that users you invite are authorized;
  • configuring users, roles, permissions, entity access, and module access appropriately;
  • promptly notifying Ready Console of unauthorized access or suspected account compromise.

Customer administrators are responsible for managing their organization’s workspace, including users, roles, permissions, company/entity access, assignments, documents, and settings.

Ready Console may use Firebase Auth or similar authentication infrastructure to support account access and security.

4. Ready Console Platform

Ready Console is an operational compliance management platform.

Depending on enabled modules and configuration, Ready Console may help customers organize:

  • companies and entities;
  • vendors and vendor compliance;
  • compliance requirements;
  • due dates and expiration dates;
  • documents and evidence files;
  • W-9s, COIs, licenses, permits, registrations, inspections, and renewal records;
  • vehicles and assets;
  • credentials and personnel-related requirements;
  • locations and facilities;
  • assignments, watchers, acknowledgements, and reminders;
  • dashboards, reports, exports, and operational visibility.

Ready Console is a workflow and documentation system. It does not determine which legal or regulatory requirements apply to a customer’s business.

5. No Professional Advice

Administrative System Only

Ready Console does not provide legal, tax, insurance, HR, DOT, medical, safety, or regulatory advice. Ready Console may help organize documents, requirements, due dates, reminders, assignments, reports, and compliance-related workflows, but customers remain responsible for determining which requirements apply to their business; confirming deadlines and renewal requirements; reviewing reports, reminders, and dashboards for accuracy; consulting qualified professionals where needed; and meeting legal, regulatory, contractual, tax, insurance, HR, DOT, safety, medical, or other obligations. Ready Console does not guarantee compliance outcomes.

6. Customer Responsibilities

Customers are responsible for the information they enter, upload, configure, assign, or store in Ready Console.

Customers are responsible for:

  • the accuracy and legality of Customer Data;
  • ensuring they have the right to upload or process information;
  • configuring access permissions correctly;
  • protecting login credentials;
  • reviewing compliance requirements and reports;
  • maintaining appropriate business records;
  • confirming renewal dates and deadlines;
  • deciding whether Ready Console is appropriate for their intended use;
  • ensuring that use of Ready Console complies with applicable laws and internal policies.

Ready Console is not responsible for customer errors, inaccurate data entry, missed updates, improper permissions, or failure to review reminders, reports, or dashboards.

7. Customer Data and Content

“Customer Data” means information submitted, uploaded, configured, stored, or generated by a customer or its authorized users in Ready Console.

Customer retains ownership of Customer Data.

Customer grants Ready Console a limited right to host, store, process, transmit, display, secure, support, back up, and otherwise use Customer Data as necessary to provide, maintain, secure, support, and improve the Ready Console services.

Ready Console does not sell Customer Data.

Ready Console does not use one customer’s Customer Data to provide services to another customer.

Ready Console’s handling of personal information is described in the Ready Console Privacy Notice and, where applicable, the Ready Console Data Processing Addendum.

8. Uploaded Documents and Evidence

Ready Console may allow customers to upload documents, evidence, images, PDFs, certificates, forms, licenses, permits, inspection records, and related business files.

Customer is responsible for ensuring uploaded files are lawful, appropriate, accurate, and permitted.

Ready Console should not be used to store medical records, protected health information, highly sensitive personal information, or other regulated data unless a specific written agreement authorizing that use is in place.

Ready Console may preserve archived or historical compliance evidence because operational records may be needed for audits, diligence, renewals, reporting, or business continuity.

9. Sensitive and Regulated Data

Ready Console does not require customers to upload sensitive personal data, protected health information, special category data, or highly regulated information to use the core service.

Customers must not upload data that requires special legal, security, or contractual treatment unless Ready Console has agreed in writing that the use is permitted.

This includes, without limitation: protected health information; medical records; sensitive personal identifiers; highly confidential personnel data; regulated financial information; criminal background information; or data subject to special regulatory handling.

Customers are responsible for determining whether information they upload is appropriate for Ready Console.

11. Acceptable Use

You may not use Ready Console to:

  • violate any law, regulation, contract, or third-party right;
  • upload information you do not have the right to upload;
  • access or attempt to access another customer’s workspace, data, documents, or account;
  • bypass, disable, or interfere with access controls, authentication, permissions, rate limits, or security measures;
  • share credentials or allow unauthorized access;
  • scrape, crawl, copy, extract, monitor, or harvest Ready Console data or interfaces without written permission;
  • reverse engineer, decompile, disassemble, or attempt to derive source code or underlying structure;
  • build a competing product using Ready Console content, workflows, layouts, templates, or confidential functionality;
  • upload malicious code, viruses, malware, or harmful files;
  • interfere with the operation, security, or performance of Ready Console;
  • use Ready Console for spam, phishing, fraud, harassment, or unlawful communications;
  • misrepresent identity, affiliation, authority, or permissions;
  • use Ready Console to provide legal, tax, insurance, HR, DOT, medical, safety, or regulatory advice to others without proper authority;
  • upload prohibited, highly sensitive, or regulated data without written authorization;
  • resell, lease, sublicense, or commercially exploit Ready Console without written permission.

Ready Console may suspend or restrict access if it believes use of the service creates legal, security, operational, or customer risk.

12. Support Access

Ready Console may provide customer support, onboarding assistance, troubleshooting, account assistance, or implementation help.

Support access is intended to be purpose-based and limited to authorized support, troubleshooting, onboarding, account review, or customer-requested assistance.

Ready Console may maintain internal support records, account notes, activity logs, and related records to support customer service and security.

Ready Console does not promise 24/7 support unless a separate written agreement states otherwise.

13. Third-Party Services and Infrastructure

Ready Console may use third-party service providers and infrastructure providers to operate, secure, host, support, and communicate about the service.

Providers may include infrastructure, authentication, database, storage, hosting, email delivery, DNS, CDN, firewall, or related services.

Current or expected providers may include Google Cloud / Firebase and Resend, as described in Ready Console’s Subprocessors page and Data Processing Addendum.

Third-party services may be subject to their own terms, privacy notices, and policies.

14. Public Website and Application Separation

Ready Console’s public website and authenticated application are separate environments.

The public website at www.readyconsole.com is intended for marketing, product information, pricing, legal/trust pages, and public resources.

The authenticated application at app.readyconsole.com is intended for customer workspaces, users, documents, compliance items, assignments, reminders, and operational data.

The public website should not include authenticated app workspace logic unless intentionally changed in a future architecture update.

15. Service Changes and Availability

Ready Console may improve, modify, suspend, limit, or discontinue features or services.

Ready Console may change pricing, plans, limits, modules, or features prospectively, subject to any applicable written agreement.

Ready Console does not guarantee uninterrupted, error-free, or always-available service unless a separate written agreement states otherwise.

Ready Console may temporarily suspend access for maintenance, security, abuse prevention, payment issues, legal requirements, or operational reasons.

16. Intellectual Property

Ready Console owns or licenses the Ready Console platform, website, software, interface, templates, workflows, branding, designs, documentation, and related materials.

These Terms do not transfer ownership of Ready Console intellectual property to customers or users.

Customers may not copy, reproduce, modify, resell, sublicense, reverse engineer, or create derivative products from Ready Console except as expressly permitted in writing.

The Ready Console name, logo, product names, and related branding may not be used without permission.

17. Feedback

If you provide suggestions, ideas, feedback, bug reports, or recommendations, Ready Console may use that feedback to improve its products and services without obligation to compensate you.

Ready Console will not treat feedback as confidential unless separately agreed in writing.

18. Usage Data and Service Improvement

Ready Console may collect and use usage, performance, diagnostic, and operational information to provide, secure, support, troubleshoot, and improve the service.

Ready Console may use aggregated or de-identified information for product improvement, analytics, security, and operational planning.

Ready Console does not use one customer’s Customer Data to provide services to another customer.

19. Privacy

Ready Console’s collection and use of personal information is described in the Ready Console Privacy Notice.

Where applicable, Ready Console’s processing of Customer Personal Data is described in the Ready Console Data Processing Addendum.

20. Disclaimers

To the maximum extent permitted by law, Ready Console is provided on an “as is” and “as available” basis unless a separate written agreement states otherwise.

Ready Console does not warrant that:

  • the service will be uninterrupted or error-free;
  • all defects will be corrected;
  • reminders, reports, dashboards, or notifications will always be complete or accurate;
  • uploaded documents will satisfy a legal, regulatory, contractual, or insurance requirement;
  • use of Ready Console will ensure compliance;
  • Ready Console replaces professional review or advice.

Customers remain responsible for reviewing their own compliance obligations, business records, documents, deadlines, reports, and decisions.

21. Limitation of Liability

To the maximum extent permitted by law, Ready Console will not be liable for indirect, incidental, special, consequential, exemplary, or punitive damages, including lost profits, lost revenue, lost business opportunities, loss of goodwill, loss of data, or business interruption.

Ready Console’s total liability for claims arising out of or relating to the services will be limited to the amount paid by the customer to Ready Console for the applicable services during the period stated in the applicable agreement.

If no separate written agreement applies, liability limitations should be interpreted to the maximum extent permitted by applicable law.

22. Indemnification

Customer agrees to defend, indemnify, and hold Ready Console harmless from claims, losses, damages, liabilities, costs, and expenses arising from:

  • Customer’s use or misuse of Ready Console;
  • Customer Data or uploaded content;
  • Customer’s violation of these Terms;
  • Customer’s violation of law or third-party rights;
  • unauthorized use of Customer accounts;
  • Customer’s configuration of users, permissions, workflows, or access;
  • Customer’s upload or processing of unlawful, sensitive, or regulated data without authorization.

23. Termination and Suspension

Ready Console may suspend or terminate access if:

  • Customer violates these Terms;
  • Customer fails to pay amounts owed;
  • use creates a security, legal, operational, or customer risk;
  • access appears unauthorized or abusive;
  • required by law or third-party provider rules;
  • a separate agreement permits suspension or termination.

Customer may stop using Ready Console, subject to any applicable agreement, order form, payment obligation, retention obligation, or termination process.

After termination, access to Ready Console may be disabled, and Customer Data may be retained, returned, archived, deleted, or de-identified according to the applicable agreement, DPA, Privacy Notice, and retention practices.

24. Governing Law and Disputes

These Terms are governed by the laws of the state where the Ready Console contracting entity is organized, unless a separate written agreement states otherwise.

Any dispute will be handled according to the dispute resolution process in the applicable written agreement. If no separate written agreement applies, the parties will first attempt to resolve disputes informally and in good faith.

Specific venue, arbitration, class waiver, jury waiver, and dispute procedures should be confirmed in a final written agreement or legal review.

26. Changes to These Terms

Ready Console may update these Terms from time to time. The effective date at the top of this page indicates the latest version. Continued use of Ready Console after updated Terms are posted means you accept the updated Terms, unless a separate written agreement states otherwise.
